Job Description

1. General Administration & Facility Management

  • Ensure smooth day-to-day administrative operations across office premises.
  • Maintain office infrastructure, seating arrangements, and workspace readiness.
  • Oversee housekeeping standards to ensure a clean, hygienic, and clutter-free environment.
  • Ensure all office areas, including workstations, cabins, meeting rooms, washrooms, and common areas, remain dust-free and presentable.
  • Conduct periodic facility inspections and proactively implement corrective actions.
  • Manage office assets, inventory, and consumables efficiently.



2. Vendor Management

  • Manage and coordinate with vendors for housekeeping, security, pantry, maintenance, and facility-related services.
  • Monitor vendor performance and ensure adherence to agreed SLAs and service standards.
  • Handle vendor evaluations, negotiations, contract renewals, billing, and payments.
  • Ensure timely resolution of service-related complaints and operational issues.



3. Pantry Operations Management

  • Supervise pantry staff and ensure smooth pantry operations.
  • Establish and implement hygiene and food safety standards within pantry areas.
  • Ensure uninterrupted availability of pantry supplies, beverages, and refreshments.
  • Train and guide pantry staff on service standards, professionalism, and presentation.
  • Maintain pantry cleanliness, organization, and proper waste disposal practices.



4. Meeting Room & Boardroom Management

  • Ensure boardrooms and meeting rooms are fully prepared for leadership meetings, management discussions, and client visits.
  • Coordinate seating arrangements, room setup, cleanliness, and overall presentation.
  • Arrange refreshments and pantry services professionally and in a timely manner.
  • Maintain confidentiality, decorum, and high service standards during executive and board meetings.
  • Ensure meeting rooms are restored and maintained after every use.



5. Office Cleanliness, Discipline & Decorum

  • Maintain a professional, organized, and disciplined workplace environment.
  • Enforce office cleanliness standards across all departments.
  • Monitor housekeeping performance to ensure clean floors, dust-free surfaces, sanitized washrooms, and well-maintained common areas.
  • Enhance and maintain workplace aesthetics, including lighting, office layouts, and décor.
  • Address maintenance and housekeeping gaps promptly through corrective actions.



6. Security & Safety Coordination

  • Coordinate with the security team regarding access control, visitor management, and employee safety.
  • Ensure adherence to entry and exit procedures.
  • Maintain visitor records and ensure a professional guest experience.
  • Support implementation of workplace safety and emergency preparedness measures.



7. Events & Internal Coordination

  • Support internal events, town halls, leadership visits, and corporate meetings.
  • Coordinate logistics, venue arrangements, seating, refreshments, and administrative support.
  • Ensure seamless execution of all internal administrative requirements.



8. Compliance & Cost Control

  • Ensure compliance with company administration policies, procedures, and standards.
  • Monitor administrative budgets and identify cost optimization opportunities.
  • Maintain accurate records, documentation, MIS reports, and vendor-related data.
  • Support audits and compliance reviews related to administration and facilities management.



The Successful Applicant

A successful Senior Manager/AVP - Admin should have:

  • A graduate or postgraduate degree, preferably in administration or related fields.
  • Proven experience in administrative roles within the financial services industry, particularly brokerage.
  • Strong knowledge of compliance and regulatory requirements in the sector.
  • Excellent organisational and leadership skills to manage teams effectively.
  • Proficiency in budgeting, resource planning, and vendor management.
  • A detail-oriented approach to maintaining records and handling audits.
